EXECUTIVE MEETING
September 9 & 10, 2001

Meeting
Called To Order
President Bob Coffin called the meeting to order at 6:00 pm.
In attendance were Mary Linnell, Wade Weseen, Lisa Schwann,
Kelly Bowers, Lorne Ulven, Greg Johnson, Kevin Vollet, Bill
Crossman, Ralph Eliasson, Dan McDougall, Larry Lafrentz, Bryan
Matheson, Kim Platt. Bob welcomed the new executive members.
1.
Adoption of the June Minutes
MOTION
by Ulven/Vollet to adopt minutes from the June 2001 executive
meetings. CARRIED

Discussion
2.1 Symposium Wrap Up
- Knee injury clinic - was not long enough, needs to be 2
hours
- Sport First Aid - could possibly include taping course
- Sport Specific - look at providing technical levels; Basketball,
Volleyball - two levels
- Continue to hold on Monday and Tuesday
2.2
Executive Reports From District Meetings
The majority of the District Meetings were held September
4 - 7, 2001. The office staff attended all but three of the
meetings. Kevin Vollet attended South Central and Moose Jaw
meetings and Bill Crossman attended the South East meeting.
The executive and office staff reported on the District Meetings.
A couple of the major concerns were 1) schools are not willing
to host. 2) keeping the independent and band schools informed
in all aspects of the SHSAA. Other concerns and suggestions
were directed to the appropriate individuals or committees.
The submission of forms using the SHSAA website was reviewed
at all meetings.
2.3
Office Information
A written report was circulated to all executive. A High School
Sports week was suggested to promote the SHSAA philosophy
about multi sport participation.
2.4
Transfer Students
The office staff asked for clarification on handling transfer
students. Schools with transfer students will be asked to
provide reasons for the transfer and the students will be
dealt with accordingly.
2.5
Direction from the Annual General Meeting
Review AGM Motions
The rural urban divergence was discussed with emphasis on
the need to an attempt to understanding our differences. The
office will remind delegates of expected decorum at our meetings.
Long Range planning committee will discuss all issues from
the meeting. Committees were formed from motions at the annual
general meeting.
Review
Small Group Meeting
Notes Notes from the AGM Small Group Meetings were circulated
and reviewed.

Executive Council Initiatives for Current Year
Refer to Long Range Plan.
2.7
Long Range Planning Session
The executive will be holding a Long Range Planning Meeting
on November 30 and December 1, 2001. A facilitator will be
in attendance at the meeting. Long Range Planning Committee
will determine those that will be invited.
MOTION
by Eliasson/Crossman to hold the District President's meeting
and Officials Meeting November 30 at 5:00pm and hold a Long
Range Planning Meeting November 30 following the District
President's Meeting that will continue December 1, 2001.

Financial
The financial reports for the months of May, June and July
were circulated. A review of the August financial statement
occurred.
MOTION
by Crossman/Bowers to accept the May, June, July and August
financial statements as circulated. CARRIED
4.
Decisions
4.1 Host Sites for Future Events
The deadline for Bids to Host for 2002/2003 Girls' Curling,
Soccer and Golf is November 28, 2001.
4.1.1
Mixed Curling
Bids to Host for the 2002 Mixed Curling championship were
received from Carnduff, Wynyard and Whitewood.
MOTION
by Eliasson / Schwann to accept the bid for Mixed Curling
from Whitewood.

Co-op School Programs

Eligibility Requests
Bedford Road - Bedford Road Collegiate requested exception
to the eligibility bylaws on behalf of a student that registered
at Punnichy High School in September 1999 and moved to Saskatoon
in late October 1999. Punnichy High School operates on the
quarter system and Bedford Road operates on the semester system.
The student was unable to register for classes until January
of 2002.
Gull
Lake - Gull Lake High School requested an exception to
the eligibility bylaws on behalf of a student that entered
Grade 10 in 1998.
MOTION
by Weseen / Linnell to accept the request for exception to
the eligibility bylaws for Sean McDonald for the 2001/2002
fall semester. CARRIED
MOTION
by Johnson/Vollet to deny the request for exception to
the eligibility bylaws for Gull Lake student. CARRIED
4.5
Home School Student
A home school student attends the Harvest City Christian Church
and would like to play basketball at Harvest City Christian
Academy. The Regina Public School Board and Harvest Christian
Academy support the student participating at Harvest City
Christian Academy. The SHSAA supports and accepts the decision
of the two boards.
4.6
SVA Request for Participation on Coaches Committee
The SVA has requested SHSAA representation for a Coaches Committee.
The SHSAA Liaison will be appointed to this committee.
4.7
Meeting Dates
The meeting dates were set for the remainder of the year.
January 25 & 26 - 8:30am, Saskatoon Inn (Thursday evening
arrival)
April 12 & 13 - 8:30am, Regina (Thursday evening arrival)
May 5 & 6 - 6:00pm, Regina
June 18 - 7:00pm, Nipawin
5.
Information
5.1 Executive Assignments
The executive assignments for Provincial Championships were
reviewed as well as the assignments for Liaisons to the Provincial
Sport Governing Bodies and or other organizations.
5.2
Executive Travel
Executive members are eligible to attend one conference for
professional development during a two-year term. The executive
were given dates for a few of the conferences that have been
attended in the past.
NIAAA
Meetings (Athletic Directors Convention) - December 12
- 15, 2001, Orlando
Canadian School Sports Federation Meeting - October
10 -14, Nova Scotia
National Federation - January and July meetings (targets
running of an association - executive and boards) - exact
dates and location will be forwarded to those executive members
interested
5.3
Sask Sport News
Copy distributed to executive.
5.4 Thank
you letter from Dick Stark
A thank you letter was received from Dick Stark of Regina
Luther College. Dick was awarded the SHSAA Merit Award at
the 2001 Annual General Meeting.
5.5
Brian Gavlas, University of Saskatchewan
A letter was received from Brian Gavlas, Head Coach of the
Huskie Men's Volleyball team, regarding the high school tournament
that was hosted at the University of Saskatchewan. Brian has
informed the SHSAA that the tournament has been cancelled
indefinitely due to the fact that they are not allowed to
charge entry fees.

Sask Sport Funding
Update given on annual funding.
5.7
RHSAA Presentation
Mike O'Donnell, RHSAA Commissioner, met with the executive
to raise some concerns that came about at the Annual General
Meeting. A letter from Mike was also received and circulated
to the executive. The executive will respond in writing to
the RHSAA.
