5.1.1. Matt's report speaks of some problems with the program and may be more of a benefit after amalgamation. May not be right for our district setting.

5.3.1. Motion - the WCHSAA exec will pay up to $200 for the books to be audited. (Books of the officials commission and district) Wayne Sandbeck will handle this. Wayne S. motioned, Vicki M. seconded (carried).
5.4. Saskatoon West recognition list
5.4.1. Will send the information to Lyle ASAP.
5.5. St. Peter School - fee structure and contacts
5.5.1. Dan will write a cheque to the district for $20 for each team participating in our district championship. (Cross Country and Track)

6. Correspondence
6.1. Delisle football
6.1.1. Letter sent to the SHSAA and cc to our executive about changes to the host for the 9-man provincial final.
6.2. Coops in the District - Denzil/Luseland volleyball, Denzil/Luseland basketball, Macklin/Luseland/Denzil/Major football
6.2.1. Each of these sent letters for this past year to the SHSAA and cc'ed also to our executive.
6.3. Exception for Lucky Lake boys volleyball
6.3.1. Used two girls so that the team could finish the year. The team did not participate in any district event.
6.4. Cutknife regional volleyball
6.4.1. Letter from Leader coach about reffing during the regional championship.

7. Reports
7.1. Fall activities - Lyle McKellar
7.1.1. Sand Golf - Delisle - went well
7.1.1.1. No Host for Sand Golf for this upcoming fall. There will be a motion at the AGM to delete this provincial championship.
7.1.2. Junior Grass Golf - Concern about dress code. Walkers were assigned for each group. Rob M. gave a recommendation to have them in each group, keep the score, and interpret rules.
7.1.3. Cross Country - Bantam results misplaced. Lyle's recommendation is to have a computerized timer; this would give us the ability to print the entire event out again if necessary.
7.1.4. Junior Volleyball - Hosted in Outlook and Lucky Lake (Host Beechy) everything went well.
7.1.5. 'A' boys' volleyball - Concern of sending 3 teams on to the Regional is too many.
7.1.6. '2A' boys' volleyball - Concerns over how to pay the officials and too many teams moving on to Regionals.
7.1.7. '3A' boys' volleyball - All 4 teams from the district went onto regional championship. Lyle's recommendation is that a maximum of 3 teams come out of our district.
7.1.8. '4A' boys' volleyball - teams were very competitive. Concern in the ranking formula, seeding forms should be sent to the commissioners as well as to SHSAA.
7.1.9. '4A' boys' provincials - Vicki gave a glowing recommendation of Unity's hosting.
7.1.10. '1A' girls' regionals in Kyle - The best reason for the regional championship to be held
7.1.11. '2A' girls' district in Lucky Lake - only 3 teams
7.1.12. '3A' girls' districts bumped out of their gym and moved to Dalmemy. There was a janitorial honorarium given because they hosted in another gym. Motion to pay the janitorial honorarium at the 3A districts to Andrew M. motioned Judy W. seconded (defeated)
7.1.13. '3A' girls regionals in Cutknife - hosted with Unity (so they hosted two weekends in a row) hats off to them
7.1.14. '4A' girls - used two gyms which made the tournament run more smoothly
7.1.15. Soccer -
7.1.15.1. Cando won the boy's gold medal for the second year in a row.
7.1.15.2. LCBI defeated Cando in the 2A girls' district final in a shootout in the dark.
7.2. Officials' Commissioner - Jeff Sopczak
7.2.1. Football Clinic - well done
7.2.2. Volleyball Clinic
7.2.2.1. More officials than any year previous.
7.2.2.2. There is still a need to stress to all clinicians to advertise outside of the school.
7.2.2.3. It would also be more efficient to register online directly at the clinic.
7.2.3. Football - There are not enough football officials who are not vball or fball coaches. We may not have enough officials next year.
7.2.4. Volleyball - Putting championships in two gyms doubles the demands
7.2.4.1. Leader coach sent a letter to the SHSAA concerning the 3A regionals in Cutknife.
7.2.5. Officials pay sheet has been given to each executive member. If you would like one please contact you executive member.
7.2.6. Local Athletic Directors are asked to print out your officials' registry, edit it and send it in to the SHSAA so that it can be cleaned up.
7.2.7. We would like to take the onus off of the officials to control jewelry and clothing. The coaches should be responsible. Also there is a zero tolerance policy with regards to swearing.

7.4. SHSAA - Lyle McKellar, Miles Bennett, Vicki Moore
7.4.1. Given by Lyle
7.4.1.1. Petro Can program is being updated.
7.4.1.2. Financial - Provincials were great successes. Regionals lost money. (Boys' lost $1800, Girls' was similar)
7.4.1.3. Concerns -
7.4.1.3.1. Zero tolerance towards foul language and trash talk. Coaches should be responsible for this not referees.
7.4.1.3.2. There is a motion to remove sand golf as an SHSAA activity.
7.4.1.3.3. Awards at the Cross Country championship need to be sped up.
7.4.1.3.4. Sportsmanship awards do not need to be given out if it is not deserved.
7.4.1.3.5. There is a movement to eliminate the cut or chop block from high school football.
7.4.1.3.6. The cost to the SHSAA for regional volleyball is substantial and there was a loss of instructional time.
7.4.1.4. Hosts are still required for Sand golf 2005, 1A boys, 1A girls, 2A boys, and 3A girls soccer 2005, Regional wrestling 2006, Provincial Badminton 2006
7.4.1.5. Bids accepted - Grass Golf 2005 Swift Current; Cross Country 2005 Biggar; 3A girls volleyball 2005 Wakaw; 1A boys volleyball 2005 Englefeld; 3A boys volleyball 2005 Kelvington; 4A boys volleyball 2005 Carnduff.
7.4.1.6. SHSAA updates
7.4.1.6.1. Rulebooks, scorebooks, wall charts are available from SHSAA
7.4.1.6.2. Continue to acknowledge support sponsors - Dairy Farmers of SK, Credit Union, and Sasktel Mobility
7.4.1.6.3. SHSAA will host the Canadian School Sport Federation in Moose Jaw, Sept. 29 - Oct. 2 2005.

7.4.1.7.4.1. What should we do with the Balance of money that is left over when the districts are changed along with division restructuring? Who will be the leaders for each of the new areas? (Will the SHSAA look to the more established areas within the new districts to lead the reforms?)

8. New Business
8.1. Soccer to activity rotation and playoff format
8.2. Wildcards to District volleyball rather than second team from Division
8.2.1. Kevin G. made a motion to change the constitution to add a wildcard rather than a second team from Division for the District championships when there are more than 8 teams available. Miles B. Seconded (carried)
8.3. Jr. Teams roster size and E-5 forms
8.3.1. Teams need to have an E-5 form for teams so that we have a record of the players on the teams.
8.4. Awards - Merit, Service, District Service, Coaches, and Recognition
8.4.1. Get your nominations in there are only 2 more AGM's for our present WCHSAA group as is!
8.5. Griffith's Stadium - booked for May 27 and 28, 2005
8.5.1. Date is confirmed
8.6. Volleyball and football conflicts
8.6.1. Let people know well in advance if there may be a conflict so that a plan can be made. Unfortunately kids may have to make a decision between sports. All the boys' volleyball should be later than the girls' so that there are fewer conflicts.
8.7. Regional volleyball concerns
8.7.1. Should volleyball move to the basketball format and not have the same teams at regional as there were at the districts. Seeding would be an issue again. There is no playoff format at the Regional level.
8.8. October 14 update from President
8.8.1.
8.9. Upcoming activities - Curling, basketball, badminton, and track
8.9.1. Junior Golf - What should the junior team look like? This should be clarified by the Spring executive meeting.
8.10 Commissioners should send a letter to the executive if teams are not in team uniforms. The executive will send a letter.
